  • The Receptionist is responsible for handling front office reception and administration duties. She provides routine information and direction to callers and visitors. She receives and relays incoming calls and takes messages; directs calls of a general nature to the proper party; receives and directs visitors, clients, and applicants to proper individual. The jobholder maintains log of daily phone and visitor activity and perform general clerical duties such as typing and filing, as needed.Ensure that all callers and customers are taken care of and that a good business image is given to the public Listen to internal/external customers’ requests, answer questions and provide telephone information
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel
  • Answers incoming telephone calls, determines purpose of calls, and forward calls to appropriate personnel or department
  • Determine callers’ requirements (extension desired information requested, etc.) and transfer call
  • Retrieves messages from voice mail and forwards to appropriate personnel
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable
  • Answers questions about organization and provides callers with address, directions, and other information.
  • Receives, sorts, and routes mail; maintains and routes publications.
  • Monitors visitor access and issues passes when required
  • As required, takes and relays messages

  • Keep records of calls placed and received
  • Perform clerical duties such as typing, proofreading, and sorting mail
